Providence Regional Contract Program Coordinator in Anchorage, Alaska
Providence is calling a Regional Contract Program Coordinator (PHSA Admin Finance CFO, Days, 1.0 FTE) to Providence Alaska Medical Center in Anchorage, Alaska. In this position you will:
Serve as the principal point-of-contact for contracts and functions as domain expert on selected areas and issues. Provides guidance and leadership relating to contracts. May oversee, counsel, guide, train contract authors or may be an individual contributor.
Develop and cultivates a collaborative working relationship with the Providence System Office, as it pertains to the contract process.
Provide support and consults with internal stakeholders to provide information necessary to contract approvals, within agreed upon timeframes.
Review and/or monitors compliance with STARK.
Assist in internal business controls, and audit readiness as required by Providence policies and procedures.
Create and implements operational plans, Standard Operating Procedures (SOPs), initiatives and projects relating to contract process, including the transition to electronic systems.
Establish and maintains core contract management processes with quality assurance to provide a systematic, structured method to monitor, evaluate and manage contract compliance including change and addendum control.
Interface with internal procurement department to ensure vendor contract provisions have the appropriate work flow and are incorporated into vendor agreements and purchase orders.
Perform periodic reviews of contract close out; including identifying and disseminating best practices and lessons learned, performing contractor assessment, and evaluates relationships from a contracts management perspective. Works with Procurement to maintain a current list of compliant vendors and third parties for future contract needs.
Stay current with new laws, regulations, Providence policy and procedure, and contract trends to assess potential impact on business unit goals and objectives.
Ensure physician contracts are routed appropriately to Selectica Solution, as needed.
Oversee the contract life cycle for contracts in the Alaska Region. Reviews and interprets contract terms and conditions, within scope of authority, to ensure process and regulatory compliance by the contract author and vendor. Interfaces with legal counsel and risk management, as necessary.
Prepare and disseminate information regarding contract status, compliance, modifications, etc. (e.g., generates reports required to monitor contract compliance).
Track and monitors contract changes, deliverables, correspondence and risks, and maintains associated documentation.
Responsible for overseeing the maintenance and accuracy of the Master Files to ensure accurate documentation, retention and control.
Work with Finance to manage and monitor contract incentive/penalties (i.e., loans and sign on bonuses).
Manage the development and maintenance of current and new contract tracking databases.
Coordination of due diligence projects as directed by Regional CFO AK.
General quality of work:
Minimal travel may be required within Providence Alaska.
Create a culture of continuous improvement by communicating/deploying enterprise best practices and employee engagement to improve cost, quality, and delivery; reduce risk; and increase employee job satisfaction and customer satisfaction. Works with senior leaders to streamline processes across organizational and functional boundaries.
Complete initial and annual Competency Plan for assigned job and department.
Required qualifications for this position include:
Four (4) years overall business experience and/or 2 years experience in the contract management/procurement field.
Advanced knowledge of relevant laws, regulations, terms, conditions and policies governing assigned contracts, including OIG, etc.; and knowledge of all facets of contracts management, both within the government and the commercial arenas. Knowledge of Lawson and Selectica Solution (Providence vendors) helpful.
Preferred qualifications for this position include:
Bachelor's Degree in Business Administration or related field.
Compliance experience with Government regulations (HIPPA, HCC, FDA, OIG, State and local etc.).
