Providence is calling a Department Secretary (Full-time/Days) to Providence St Joseph Medical Center in Burbank, CA.

We are seeking a Department Secretary - Cardiac Physiology Laboratory who will perform a broad range of clerical duties, and administrative support to Cardiodiagnostic and Vascular Departments. Interacts with all levels of administration, departments, and other groups to bring issues to a positive conclusion. Performs secretarial duties including typing, assisting with meetings minutes, reporting, answering telephones and making copies.

In this position you will:

• Performs office functions (i.e., answers telephones and takes messages, maintains filing systems, appointment calendar, schedules and coordinates meetings, document action plans and track completion of action items, makes travel arrangements, etc.).

• Responds to customer complaints in a timely manner and/or refers to appropriate department for resolution.

• Maintains established departmental policies and procedures, participate in improving organization performance program, and safety standards.

• Assists in departmental activities in: editing and updating Kronos system, maintaining departments’ website, ordering supplies, and follow up regarding vendor and other customers’ requests.

• Assists in preparing management/production reports/data by compiling information from a variety of internal/external sources.

• Write letters, memoranda and reports as needed. Proofs materials for errors.

• Performs various clerical duties relating to the functions of the departments: assists with billing verification and charge reconciliation, and assists with special projects.

• Participates in educational programs and departments’ in service meetings.

• Attends various committee meetings/conferences as required. Compiles data, agenda, and minutes for committee reporting.

• Opens and routes incoming mail; distributes correspondence and other material to staff.

• assists with providing departmental on-boarding, orientation and training of new employees in HR systems, attendance and tardiness policies, other general policies and procedures as well as Payroll Kronos procedures, so the expectations of the departments are clearly understood.

• Functions as Safety Officer and performs quarterly assessments of the department’s environment of care.

• Works effectively, confidently and pro-actively with physicians, administration and other hospital personnel.


Required qualifications this position include:

  • Strong written and verbal communication skills

  • Abiltiy to work in a tactful and diplomatic way with variety of customers

  • Proficient in Microsoft Office Suite: Outlook, Work, Excel, Powerpoint

  • Familiar with medical terminology

  • Ability to work independently with minimal supervision

Preferred qualifications this position include:

  • 2 years relevant, secretarial experience.
