We are seeking a Medical Staff Coordinator who will be responsible for the administrative support to several Medical/Professional Staff departments including its leadership at Providence St. Joseph's. Coordinate the development and/or revision of departmental Rules & Regulations to ensure compliance with current practice, accreditation standards, State/Federal regulations as well as system wide regulatory requirements. Oversight of department/committee meeting management (provide support duties for designated hospital based committees, including but not limited to, agenda preparation and distribution, meeting documentation preparation, and transcription of minutes) as assigned to ensure flow of information through established reporting and approval process. Assist with elements of the credentialing process specific to departmental responsibilities.
In this position you will:
Work effectively, confidently and pro-actively with others in the department, physicians, administration and other hospital personnel
Ensure the credentialing of applicants for membership and reappointment is coordinated accurately and timely in compliance with defined schedules. Collect and analyzes information thoroughly to identify potential quality of care issues, behavioral problems, appropriate education and training. Investigate issues of concern, generates reports, and present findings to facilitate recommendations to the board of directors
Interface effectively with the quality management division to integrate quality of care and risk management findings into the proctoring and reappointment processes resulting in acceptable outcomes. Activate and monitor proctoring process to include timely data collection, analysis, and reporting to assure compliance with rules and regulations
Facilitate assigned medical staff standing, ad hoc and special committee meetings. Consult with respective department/committee chairs and hospital staff to achieve action-oriented outcomes assuring that problems identified are either acted upon or appropriately referred. Demonstrate excellent communication and negotiation skill in preparation of agenda, participation in meetings, and follow-up actions
Record conclusions and recommendations succinctly and accurately to substantiate actions taken. Maintain and protects the confidential records of proceedings which may be required in subsequent internal investigations and/or external legal disputes
Work effectively with co-workers to assure the integrity of the credentials data base
Maintain personal adherence to professional confidentiality standards established within the Department and in accordance with legal, ethical, and hospital policies
Assure the integrity of the credentialing program and maintains a state of readiness at all times for licensing and accrediting agencies
Maintain expertise in Medical Staff Bylaws, Rules and Regulations, Delineation of Privileges, and the policies, procedures and practices related to the National Practitioner Data Bank
As assigned, prepare monthly reports for submission to the Executive Committee. These reports shall include relevant findings, actions required and performance improvement activities
Assist in research and development of departmental documents and policies and procedures
Assist in special departmental projects
Contribute to and participate in departmental, as well as, personal performance improvement activities
Participate in departmental meetings, educational programs and in service meetings
Maintain communication flow and information sharing between departments/facilities
Prioritize schedule according to needs of the Medical Staff with regular interruptions
Attend to details related to physician and allied health staff credentialing and documentation as defined by State and Federal requirements and the Bylaws, Rules & Regulations of the Medical Staff Organization
Adapt and interpret established practices and procedures to address problem situations which arise and makes judicious decisions when faced with exceptions to the written rules
Maintain established departmental policies and procedures, objectives, improving organization performance program, and patient/customer safety standards
Required qualifications for this position include:
Certified Provider Credentialing Specialist (CPCS) certification through National Medical Staff (NAMSS) required within in one (1) year of hire.
1 year Experience as a secretary or administrative assistant within a healthcare environment
Ability to work in a fast-paced environment while handling multiple tasks and deadlines.
Familiar with and willing to expand knowledge of medico/legal issues, State/Federal Regulatory Requirements, TJC and CMA Accreditation Standards.
Excellent telephone etiquette, minute taking capabilities ability to compose letters/memorandums, excellent shorthand (or speedwriting, notehand, etc.), computer literacy, and data base management.
Candidate should be an independent problem solver, be familiar with medical terminology and have excellent customer service and communication skills.
Must have extensive word processing skills (Microsoft Office Suite and Excel, Echo software a plus) and be attentive to detail with a high degree of accuracy.
