This position is responsible and accountable for the coordination of patient care as patients arrive from a referring medical office through scheduling and registering for their services at the Issaquah Highlands facility. This position performs a variety of front office clerical and pre-business services within the hospital setting. Primary responsibilities include patient registration, patient scheduling activities, acquiring insurance verifications and Physician orders, referrals, and triaging phone calls, exceptional customer service, excellent communication and problem solving skills around patient care matters are vital.

  • Accurately registers patients into the electronic medical record. Verifies accurate patient information, including coverage eligibility and PCP. Interviews patients and families to obtain required demographic and financial data.

  • Answers and triages incoming phone calls. Answers routine questions, confirms or re-schedules appointments for incoming calls, soft transfers calls to other departments and schedules patients for upcoming appointments.

  • Schedules appointments for multiple departments including Rehab, Nutrition, Anti-Coagulation, Echo, Cardiac Nuc Med, Infusion, EEG, ECG, Pulmonary Function, Vascular Ultrasound, and others as required. Coordinates scheduling with other departments for various procedures.

  • New referral intake; receives and completes all information required for new patient referral. Verifies required information e.g. medical information, verification of insurance eligibility. Requests insurance authorizations when needed.

  • Enters Physician orders into EPIC for scheduling purposes.

  • Admits patients in EPIC for Surgery, Labor & Delivery and Inpatient stays. Performs bedside registration. Creates pre-admissions for Labor & Delivery and Pediatric procedures.

  • Organizes work to perform multiple functions concurrently, demonstrating ability to respond appropriately to requests from staff, patients, physicians, etc.

  • Contacts patients to remind them of next day appointments and provides preparation instructions. Proactively calls patients with pending Dr’s orders to schedule appointments.

  • Distributes patient educational materials and literature to meet regulatory requirements (i.e. HIPPA, Patient Rights).

  • Manages the distribution of bloodless program enrollment paperwork and advance directive information for the Interventional Platform.

  • Keeps work area neat, orderly and well stocked with the necessary supplies. Keeps patient waiting area orderly through the work day, maintaining pamphlet and magazine supplies. Orders and maintains appropriate levels of office supplies.

  • Obtains and witnesses patient’s signature for consent/financial responsibility/DNR acknowledgment. Scans and categorizes documents in the electronic medical record.

  • Accesses insurance verification programs such as Passport and One Health Port. Confirms insurance information and eligibility. Obtains specific information for Medicare claims processing, such as completing the MSPQ.

  • Responsible for timely corrections in work queues.

  • Initial contact for patients, physician offices, and family members with scheduling needs, physician inquiries, insurance information, and general questions.

  • Greets patients or visitors. Confirms appointments and announces to appropriate party. Screens drop-in visitors by determining purpose of visit.

  • Collects co-payments and private pay deposits, balances cash drawer, and prepares daily deposits.

  • Provides exceptional customer service and demonstrates caring behavior. Works closely with patients, families, visitors, physicians and staff to identify needs, answer questions, resolve problems or provide other information.

  • Arranges for interpreter services when needed.

  • Participates in interdisciplinary quality improvement, safety initiatives, problem identification and resolution of department issues, which could impact the delivery of patient services. Attends department meetings and ongoing education workshops.

  • Responsible for completing appropriate paperwork during EPIC downtimes and inputting accurate information for the recovery process.

  • Flexible in working various shifts when needed. Expected to be cross-trained in all patient access areas. May provide back-up support service to other departments to cover for lunch breaks, vacations or other absences.

  • Pre-registers patients for appointments, including verification of demographics, insurance eligibility and emergency contact information. Schedules surgery pre-admission appointments during pre-registration process.

  • Tracks all incoming calls including referrals and transfers into Patient Access tracking tool.

  • Responsible for collecting, securing and returning patient valuables per policy and documenting in EPIC.

  • Adheres to Federal HIPPA guidelines to protect patient privacy.

  • Demonstrates a good understanding of the overall departmental and organizational operation, following departmental policies and procedures.

Required qualifications:

  • 1 year Recent receptionist or front desk experience in a health care field.

  • Experience with medical terminology and basic medical record processes.

Preferred qualification:

  • Associate's Degree Or equivalent educ/experience

  • Or equivalent from a college or technical school.

  • Medical insurance & billing experience.

  • Experience with computerized scheduling or relational databases.

  • Preferred upon hire: Medical Terminology Certification
