Providence Director of Clinical Operations - Mission Heritage Medical Group in Mission Viejo, California



The Director, Clinical Operations for Mission Heritage Medical Group is responsible for the systems, structures and day-to-day operations. Directs all medical office organizational operations and works in partnership with the Executive Director along with all management in developing relationships between the divisions, physicians, departments, and medical offices. This position provides leadership and direction to the Medical Office Managers, Supervisors, and Leads of Providence Medical Foundation in accordance with the policies and strategic direction of the Chief Operating Officer, Providence Medical Foundation executive management team, and the Medical Group. This position participates in business development activities and strategic planning processes in order to ensure long term Providence growth as well as positive physician, community and employee relations. In addition, the Director, Clinical Operations works closely with other department leaders to develop and implement administrative strategies and oversees the implementation of programs to ensure overall quality of care and service in the day-to-day operations.


  • Provides strategic leadership to ensure that each specialty department is meeting established objectives related to quality patient care, operational excellence, and customer service.

  • Act as a resource for the patient care delivery operations and state regulatory requirements of a medical facility/specialty departments.

  • Delivers upon the service expectations of both our patients and fellow staff members by listening to their needs engaging in positive interactions, and following through on promises made in a thoughtful, efficient, timely and courteous manner so that their total outcome is better than expected.

  • Works in concert with the Regional Admin/ Executive Director to track trends effectively and ensures that progress is being made on key concerns.

  • Refines work processes as required to maximize the benefits of new technology.

  • Ensures best practices in clinical arena to optimize delivery of highest quality and safe patient care.

  • Collaborates with leadership to lead innovation in the specialty areas to improve the patient experience.

  • Attends meetings and participates on committees. This includes administrative meetings as appropriate, contributing ideas for improving efficiency, productivity and patient satisfaction.

  • Establishes and maintains effective working relationships with staff at all levels of the organization as well as key California region and Providence system staff. This position may have daily interactions with Physicians, Directors, Managers, Supervisors, frontline caregivers, and other subject matter experts as necessary.

  • Ability to lead and influence organizational change and drive high quality and results-oriented outcomes.

  • Identifies, documents and monitors metrics for project performance, compiles, and manages the data and notifies stakeholders of problems affecting timelines and resources.

  • Ability to effectively manage direct reports, delegate work assignments, and develop performance management action plans as needed.

  • Works in concert with site leaders to organize the specialty department workload and establish work standards to promote efficiency and productivity.

  • Develops, implements and administers in-service training and education for staff when appropriate.

  • Ability to effectively manage multiple projects timely, utilizing team members and to their expertise to make changes and meet goals.

  • Ability to recognize challenges and make changes to current projects, pilots and processes to create the best outcomes for the patients, caregivers and providers in the specialty departments across the Providence Medical Foundation clinics.

  • Develops operating budgets and controls expenses accordingly. Meets budgeting goals and limitations through effective and efficient use of resources. Analyzes staffing levels through quantitative and qualitative methods.

  • Ensures that the capital management process is coordinated with the Administrative/ Executive Director; Chief Operating Officer and Medical Director and the approval committee. Reviews all capital equipment expenditures for specialty departments and makes appropriate recommendations.

  • Bachelor's Degree in Business, Healthcare Administration, or related field

  • Master's Degree in Business, Healthcare Administration; or related field (preferred)

  • 5 years of management experience in ambulatory or acute care

  • Leadership, facilitation, critical thinking, problem solving, and decision making skills

  • California market experience (preferred)

  • Must have excellent verbal and written communication skills

  • Must be able to communicate and interface effectively with internal and external customers.
