Providence Health & Services Administrative Assistant - Radiology/Respiratory/Sleep in Olympia, Washington
Providence is calling an Administrative Assistant (1.0 FTE/40 hours per week, Day Shift) to support the SWSA Region for Radiology, Respiratory, and Sleep. The in office location will be at Providence St Peter Hospital in Olympia, WA.

Administrative Assistants perform a variety of specialized clerical duties in support of administrative operations of departmental programs or projects. Duties focus on assisting the DI leaders and staff with project support duties; organizing and scheduling outside preceptors; tracking expenditures and program information; producing statistical and summary reports; reviewing and monitoring applications, permits, and funds; scheduling; coordinating events; developing written materials and answering correspondence.
In this position you will:
Will prepare correspondence, maintain appointment schedules, maintains incoming and outgoing mail, maintains files, orders supplies, and prepares meeting agendas and minutes. Attends required meetings.
Assists director and staff with projects as needed by researching and compiling information.
Reviews documents, such as records, applications, permits, contracts, certificates, credentials, invoices, etc. for completion, accuracy, content, and conformance with requirements. Takes actions as appropriate. Strong emphasis on accuracy and timeliness of legal contracts and all policies.
Maintains document and filing systems.
Performs word processing; composes correspondence, reports, forms and other documents. Uses personal computer, copiers, fax, and other office equipment.
Maintains information in databases by entering data, verifying, updating, monitoring, and generating management and ad hoc reports. Reports may include statistical data and variety of formats, including accompanying narratives and graphics.
Responds to questions and concerns from customers and others on behalf of management.
Performs planning and coordinating activities such as scheduling staff, meetings and events, preparing materials and presentations of information for meetings and events.
Works on projects as a team member, providing support as needed. May attend meetings as the director’s supervisor’s representative, providing information and reports.
Tracks expenditures; prepares budget documents; financial reports, and contract preparation.
Identifies role and responsibility in complying with facility and unit specific safety and security policies, plans and procedures.
Complies with facility and unit specific infection control, risk management and OSHA guidelines and procedures.
Demonstrates ability to work with patients, managers and clients of various ages’ groups. Provides sensitivity with cultural and religious beliefs.
Required qualifications for this position include:
- 1 year Clerical experience, medical setting preferred. Additional clerical experience may substitute for the degree.

Medical Terminology experience.
