We are seeking a Administrative Assistant 1 - Medical Research that will provide a variety of administrative and diverse secretarial functions requiring a thorough understanding of organizational policies and procedures under the general supervision of one or more individuals. The confidential nature of work requires the necessity for limited judgment and decision-making in selecting alternative solutions to problems and has duties and responsibilities that necessitate greater involvement and knowledge in the supervisor's work in order to perform the job.
In this position you will have the following responsibilities:
Provide secretarial support to the Service Area Director, Director, Manager or Supervisor
Handle telephone and personal callers independently without advice or direction from the supervisor
Determine which matters warrant supervisor's attention
Maintain appointment calendars and making changes in scheduling when needed
Schedule appointments and making arrangements for conferences and meetings
Typing/keyboarding correspondence, reports and other material, some of which may involve obtaining organizing and planning suitable presentation of content. When required, taking and transcribing dictation and meeting minutes. Preparing responses to general nature inquiries
Establish and maintain office filing systems
Provide or arrange for varied office services, including purchasing, reproduction and distribution; opening, sorting and distribution mail
Communicate daily with various departments on routine, special and mandatory projects. Also, communicates with co-workers and supervisor to produce work more effectively
Complete projects and disseminates information in a timely and accurate manner
Required qualifications for this position include:
One (1) year secretarial training, including word processing, spreadsheet and database training. -OR- equivalent education/experience
Data entry experience preferred
