Providence Regional Staffing/Payroll Specialist (Days) in Portland, Oregon
Providence is calling a Regional Staffing / Payroll Specialist to the Regional Nurse Staffing Resource team (0.9 FTE, Days) at Providence Office Park in Portland, OR. This position will work 12-hour Day shifts and weekend rotations are included. Hours are 7:30am – 8pm.

We are seeking a Regional Clinical Resource Specialist - Regl Nurse Staffing Resource that will process payroll/time data in accordance with labor contracts to partner with systems payroll to produce complete and accurate payroll checks for the staff supported by this service. Other responsibilities include: all payroll close activities. Supports the Operations Coordinator and Operations Manager of the Regional Clinical Resources Department for various assigned responsibilities. Provide a variety of staffing functions and services for the Department of Nursing. In addition to the staffing and timekeeping responsibilities, this position will act as a resource for questions related to Kronos functionality which will promote standardization of best practices throughout the region. Provide follow-up and support to customer needs. This position requires attention to detail in all work.
In this position you will have the following responsibilities:
Process Kronos system data daily (this includes exception forms, Intermittent Leave Of Absence, historical edits for both Providence employees and agency staff) and complete payroll closure bi-weekly in an accurate and timely manner
Review payroll computerized edit reports (genies) and makes adjustments to ensure the accuracy of each employee's time
Investigate, analyze, and alert System Payroll to correct paycheck and payroll accounting related problems
Answer employee and management questions related to Staffing, Scheduling, Kronos and timekeeping in a pleasant and efficient manner
Communicate with Nursing Managers or Nursing Staff regarding schedule/time card discrepancies or other issues
Maintain the confidentiality of all staffing/employee information
Answer the phone promptly and deals with issues and problems in a timely manner
Assist our Providence caregivers to be successful in managing the self-edit timecard process
Recognize and respond immediately and appropriate to constant change in unit patient census, acuity and demands for staffing needs
Develop a thorough knowledge of policies and procedures as well as facility specific contractual agreements that impact our caregivers for Scheduling/Staffing, Time/Attendance
Adjust timecards and schedules in accordance with these agreements
Work with the Charge RN/designee to determine the shift staffing plan following all facility and departmental requirement.
Required qualifications for this position includes:
HS diploma or equivalent combination of education and experience
Three (3) years Nursing, other hospital experience, or staffing/scheduling experience
One (1) year Kronos experience in last five years, -OR-
Six (6) months of Kronos experience in the last twelve (12) months
One (1) year staffing/scheduling experience within Kronos in last five years, -OR-
Six (6) months of staffing/scheduling experience within Kronos in the last twelve (12) months
Kronos time/attendance, scheduling/staffing experience
Preferred qualifications for this position includes:
One (1) year timekeeping/payroll experience within Kronos in last five years, -OR-
Six (6) months of timekeeping/payroll experience within Kronos in the last 12 months
Knowledge of Microsoft Excel, Microsoft Word, and Power Point
