Providence Health & Services Gift Operations Coordinator in Santa Monica, California
Providence is calling a Gift Operations Coordinator for Full-Time Day Shift to Providence Saint John's Health Center in Santa Monica, CA
We are seeking a Gift Operations Coordinator who will support for gift processing, prepare daily deposits, prepare operating expenses reports and other finance related reports, prepare reconciliation worksheet for deposits and batches for financial statements, prepare acknowledgment and tribute letters for gifts received, processes invoices, and other administrative related duties to support the Foundation department.
In this position you will:
Review integrity of biographical information of donors. Act as reference with Foundation staff regarding donor database records, gifts, and reports.
Review, process and report all gifts received on a daily basis. Calculate value for donated securities. Maintain efficiency and speed of processing for gifts. File batches.
Maintain internal financial controls. Prepare daily deposit and file all deposit records. Prepare reconciliation worksheet of deposits and batches for financial statement purposes.
Prepare multiple acknowledgment and tribute letters for all gifts received.
Work with Database Administrator to clean up duplicates, correct data and general data maintenance.
Prepare and send matching gift forms to corporations and track in database.
Analyze outstanding pledges; prepare and mail pledge reminders. Follow up on collections.
Photocopy, process and file all invoices. Coordinate rush payments if necessary. Pick up checks, distributes accordingly. Follow up on outstanding invoices with vendors.
Prepare operating expenses report. Balance to Finance reports.
Prepare reconciliation report for the annual transfer to the Health Center.
Run reports for the tracking their various fundraising activities; prepare/submit IDG check requests for reimbursement.
Act as back up to Director/Financial Management in the following capacity:
Distribute Petty Cash; balancing and replenishment.
Prepare travel expense reimbursement for Vice Presidents.
Edit Payroll through Kronos.
Support SJHC, SJHC Foundation and JWCI Development staff members with data research and corrections.
Coordinate the generation and distribution of updated Foundation stationary.
Distribute and replenish parking validations for multiple parking structures for trustees, volunteers and visiting donors.
Support the Director of Finance with receipts and expense distributions related to the Saint John’s Physician Alumni Association.

Required qualifications for this position include:
2 years of experience in accurate data entry.
Ability to work independently with little or no supervision.
Basic computer skills.
Ability to work various hours for special events, including weekends.
Ability to prioritize, organize and coordinate work.
Ability to work effectively with many people at various levels of the organization.
Excellent oral and written communication skills.
Able to handle multiple tasks and appropriately prioritize.
Ability to clearly communicate with internal and external customers, including, but not limited to, co-workers, management, physicians, patients and visitors.
Ability to maintain patient confidentiality and privacy in accordance to hospital policy.
Preferred qualifications for this position include:
Associate's Degree or Bachelor's Degree
Experience in Using Raiser’s Edge database.
