Providence Health & Services Vocational Education Assistant *1.0 FTE, Days* in Spokane, Washington


Providence is calling a Vocational Education Assistant (Clinical Education Services, Days, 1.0, 40 hours per week) to Providence Health Care Region in Spokane, Washington. In this position you will:

  • Appropriately maintain office: Develop and monitor department record keeping, and filing systems. Ensure office files are easily retrievable by management and employees. Ensure different issues can be tracked individually.

  • Establish, maintain and update administrative records, files and systems.

  • Maintain confidential student files, collecting paperwork for students including vaccination records, preceptor evaluations and forms and proper completion of clinical and field shifts; Ensuring all program pre-requisites are complete prior to students entering program or attending any internships.

  • Screen telephone calls, mail, and handle confidential matters on behalf of management.

  • Take accurate telephone messages and repeat key information to verify accuracy.

  • Address general questions regarding health training programs via phone, email or walk-in inquiries.

  • Assist department when necessary in the marketing development of materials for the Vocational Education programs including flyers, ads, and the website content.

  • Provide clerical support for staff and works with the management team to keep them informed of office needs, efficient systems, and administrative operations.

  • Create clinical schedules in FISDAP for students to sign up for shifts.

  • Sort, open and distribute incoming mail and prepares outgoing mail.

  • Demonstrate knowledge of all office machines.

  • Regularly compose, type and proof communications for accuracy before distribution.

  • Initiate, compose, create and/or complete correspondence, agendas, and minutes of standing meetings.

  • Schedule and complete travel and itineraries.


Required qualifications for this position include:

  • Three years (3) experience as Administrative Assistant at upper organizational level setting.

  • Experience in health care and/or medical terminology.

  • Knowledge of and ability to interpret documents such as policies and procedures, payroll, personnel forms and related reports.

  • Ability to train and lead others; to demonstrate excellent internal and external customer service skills; to communicate well verbally and in written form, to be analytical and to lead projects.

  • Coordinate on-going training of staff on new and existing system applications.

  • Skill in all office equipment, in word processing (formatting, creating and editing of text and spreadsheets (Word, Excel, or similar software programs).

  • Excellent phone, verbal and written communication skills.

  • Ability to demonstrate excellent customer service even under adverse conditions; to work independently and make sound decisions; to manage multiple priorities and prioritize; to maintain confidentiality; to maintain close communication with Education Coordinator and/or Manager.

Preferred qualifications for this position include:

  • AA degree or some college in business, or a combination of education and experience to include college

  • courses in English or Communications.

  • Knowledge web based learning management systems (FisDap Preferred)
